Archives Identifier00002Date Range1857-2017DescriptionThis series generally consists of legal agreements, leases, deeds, releases and appointments. These records may also contain reports, plans and registered correspondence.
Records are stored in legal envelopes. One envelope may contain a number of documents relating to the specific agreement or topic, and may cover a range of dates. All deeds containing documents dated before 1927 (inclusive) have been retained. Until this date the deeds system was used to hold non-legal (reports, plans) and legal documents.
The deeds that have been retained complement the Town Clerk's inward correspondence (Series 00233). With the introduction of the Town Clerk's subject-based filing system in 1926 (Series 00001) deeds were usually copied to the file and the file represents a fuller record of transactions. Some deeds later than 1927 have also been retained because they relate to significant transactions, and are not covered well in the files.
The system was also used to file legal documents from Melrose Borough Council, Miramar Bourough Council, Karori Borough Council, and Seatoun Road District when they were transferred as part of amalgamation.Quantity (Linear Metres)61.75AccrualsDigital only from 2020MediumFileSystem of ArrangementItems are ordered by deed number in a running numerical sequence, and each new deed number got the next number in the sequence. When additional documents relating to that deed were created, they were added into the existing deed envelope and noted on the index card.
Items that were transferred as part of 2017/17 Accession had more than one system of arrangement. The second system which was picked up in 2014 is using the Trove Unique Identifier metadata's numerical suffix as the Deed number, and the sequence starting at a low number again. In the early stages of this system there was a letter T suffixed to the number to indicate that it existed in Trove, which was later changed to a D to represent Deeds and a C to represent Contracts respectively - these letter suffixes have been represented within brackets following the Unique Identifier metadata's numerical suffix. After the November 2016 earthquake control of the Legal Documents/Deed Series were transferred to Archives, the system of numbering for new items will continue to use the Unique Identifier metadata's numerical suffix, but leave off any additional lettering. Circa 2016 City Records started to receive Electronic Only Deeds, and these will be stored in a separate folder within the series and will not follow a numbering system, named according to the name assigned by the creators, name and description fields will be updated with relevant additional information. Where there has been duplication/reuse of existing numbers in the numerical sequence, it is the continuation of a set of related documents to the same deed number and will be named with the deed number with a suffix (2) on the item ID.Collection TypeWellington City Council
