Archives Identifier00001Date Range1926-1998DescriptionThe Town Clerk's Department's record system functioned as the central repository of all correspondence to the Council. The files contain information on most of the matters that the Council is involved in.
On receipt, all letters to Council were filed in the Town Clerk's file system and/or if appropriate circulated to the relevant part of Council (eg City Engineer). In addition to internal and external correspondence, files may also contain reports, plans and photographs. Some Town Clerk's early correspondence files (Series 00233) were carried forward into the subject based system. Papers that related to two or more subject areas were copied and placed on the relevant subject files.
This series was created by the Town Clerk's Department to replace the annual single number system of filing (Series 00233). It is based on the 'Series System' (or multiple number subject system) where consecutive numbers are allotted to principal subjects. The principal subjects are subdivided by the addition of bar numbers.. . For example:. No 11 Series relates to conveniences. Papers relating to conveniences in the city are placed on file 11/10.
